Job Description:
Summary:
This position provides overall administrative coordination and secretarial support to ensure the smooth and efficient operation of the Office of Academic Affairs.
Reporting directly to the Provost and Vice President for Academic Affairs and Research, the Administrative Secretary is charged with providing administrative coordination between internal and external individuals and units and the Office of Academic Affairs on behalf of the Provost.
The Administrative Secretary serves as the primary liaison between all persons and the Provost.
Essential Duties and
Responsibilities:
Processes all incoming and outgoing daily mail to include logging it in/or out, affixing the date stamp and distributing it to the appropriate staff person for follow up or response.
Developing, organizing and coordinating all administrative procedures for the efficient operation of the office, to include filing systems, correspondence protocols, internal communication, adherence to deadlines, etc.
Establishes and maintains office records to ensure accuracy and confidentiality.
Handles all travel arrangements and reimbursements for the Provost.
Manages the appointment schedule of the Provost and arranges meetings and presentations requested.
Types correspondence from written or electronic sources for signature or review by the Provost.
Answers the telephone, places calls, assists others in receiving office visitors and uses sound judgement and discretion in responding to requests for assistance or problem resolution in referring persons to the appropriate source of resolution.
Responds to routine requests for assistance from external units or individuals and channels these to the appropriate persons for follow up as needed.
Provides lead supervision to student workers in carrying out assigned duties.
Ensures that appropriate supporting materials, files, reports, etc.
are gathered and provided to the Provost and brings attention to those matters which are time sensitive or in need of immediate attention.
Coordinates and provides lead responsibility for maintaining and ordering office supplies and materials.
Job Requirements:
Minimum Position Requirements (including certifications, licenses, etc.
):
A Bachelor's degree or five to seven years of experience.
Knowledge, Skills, and Abilities:
Excellent administrative and organizational skills.
Familiarity with University Academic Policies and Procedures.
Excellent written and verbal communication skills.
Ability to establish and meet deadlines Prioritization skills Initiative and self-motivation to carry out responsibilities.

SALARY:
The salary for each position is based on the grade/tier in which the position is placed, and the salary within the grade/tier is based on the number of years of related experience or number of years in the hiring rank.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
